What safety standards are in place at our accommodation, and can you assist with a risk assessment?

All accommodations have been thoroughly vetted to ensure they are suitable for school groups and comply with the stringent standards set by the School Travel Forum. This organisation is the recognised benchmark for school tour providers and the awarding body for the Learning Outside the Classroom (LoTC) Quality Mark.

For more details, please visit our safety, insurance, and risk assessment page, which provides all the resources you need to plan your school trip and complete your risk assessment.

Here is a summary of the key criteria your risk assessment should cover:
Hazards: Identify potential sources of harm or danger, such as busy roads, physical activities, or extreme weather conditions.
Risks: Describe the specific risks associated with each hazard, such as physical injury or dehydration.
Persons at risk: Determine who could be affected by the hazards, including students, staff, and volunteers.
Control measures: Outline strategies to minimize or eliminate the identified risks, such as providing safety gear or establishing clear rules and guidelines.
Comments/actions: Summarize the actions or considerations for each suggested control measure.
Residual risk rating: Assess the remaining level of risk after implementing the control measures. It can be helpful to establish a ranking system in advance.
Approval: Ensure that your risk assessment is reviewed and approved by the appropriate authorities, such as senior leadership in your school.

If you require additional information to carry out your risk assessment, we can assist in arranging inspection visits for your trip.

Are you able to support students with special needs and meet specific dietary requirements?

Please inform us prior to booking if anyone in your group has any special needs or requirements. We will make every effort to accommodate these needs, but it is essential to inform us in advance so we can advise on the suitability of your chosen plans.

We specialise in organising trips for school groups, and specific dietary requirements can usually be accommodated if we are notified early. Please let us know of any needs as soon as possible so we can coordinate with our suppliers. If you have any questions, please don't hesitate to contact us!

What should be done if a child requires medical treatment while on a school trip abroad?

Medical Treatment in Europe:
As a UK resident, you are eligible for necessary medical treatment at a reduced cost or even free when visiting an EU country, Iceland, Liechtenstein, Norway, or Switzerland temporarily. This coverage applies only to treatments provided under the state healthcare system. To access this treatment, you must carry a European Health Insurance Card (EHIC) with you. However, be aware that not all UK residents are covered in Denmark, Iceland, Liechtenstein, Norway, or Switzerland.

Click this link for further information: https://www.ehic.org.uk/It is a condition of travel with Rondo Travel that groups have adequate travel insurance. Insurance companies will assist where treatment is required and outside of the costs covered by the above.

Medical Treatment Outside of Europe:
It is a condition of travel with Rondo Travel that groups have adequate travel insurance. Insurance companies will assist where treatment is required. It is important that you call the insurance medical emergency line immediately you know you will require treatment.

What should be done if there is a ferry port or airport strike, or a terrorist attack, during a school trip?

We frequently receive inquiries about what happens in the event of travel disruptions during school trips.

To provide continuous support and guidance, we have a 24-hour emergency helpline available.

A capable tour operator will ensure your planned tour proceeds smoothly by arranging alternative ferry crossings, flights, or other solutions, if it is safe to do so.

Although recent news may highlight such incidents, they are relatively rare. If an attack occurs at your destination within a week of your travel dates, your tour operator will consult with the Foreign & Commonwealth Office (FCO). As a seasoned tour operator, we generally recommend postponing travel for a few days, regardless of the FCO's guidance.

Even after FCO travel restrictions are lifted, we are committed to collaborating with schools that prefer to alter their original plans.

Rondo Travel Ltd is dedicated to maintaining your educational travel plans and will, if necessary, work to change dates or switch destinations, often at no additional cost.

Educational tour operators who are fully bonded with the STF adhere to high safety management standards and are required to have a 24-hour emergency system. Should any incidents occur while you are on tour, you can rely on expert advice and support to promptly ensure your group's safety.

If the FCO advises against travel, STF members are obligated by the Package Travel Directive to offer either a full refund or an alternative tour.
